AHMA Officer Job Descriptions, Qualifications, and Requirements

 

Special Note: All AHMA officers are required to sign a non-disclosure agreement. Board meetings can include discussion or private and sensitive information. Any disclosure of such information results in removal from the board and loss of AHMA membership.

 

Job Title: Chair

  • Brief Description: Oversees officers and committees and encourages teamwork. Maintains operation of AHMA. Keeps AHMA focused on setting and maintaining goals.
  • Responsibilities:
    • Attend all meetings
    • Create agenda for the meetings
    • Disseminate agenda at least 5 days prior to the meeting
    • Send a meeting reminder to members
    • Preside over meetings
    • Delegate responsibilities as necessary
    • Work with AHS/AHMA staff
    • Get Website updates to AHS staff
    • Select a nominating subcommittee
    • Enforce bylaws, policies and procedures
    • Report to membership
    • Other duties at the request of the board
    • Serve as the AHMA spokesperson
    • Recognize achievements of members
    • Provide induction and orientation to new board members
    • Assist preparation of AHMA budget with other officers
    • Co-Chair of conference planning and implementation
      • Assist with development of conference theme
      • Develop agenda for annual meeting with input from AHMA board
      • Create a conference budget with Co-Chair and Treasurer
      • Assist Secretary with marketing the conference
      • Assist in developing speaker goals
      • Assist in finding speakers to meet those goals
      • Communicate with speakers
      • Introduce speakers
      • Send acknowledgment and thanks to the speakers
      • Conduct the annual meeting

      • Develop agenda for annual membership meeting with AHMA board
      • Develop budget for the meeting with the AHMA board

  • Qualifications:
    • Previous Chair-Elect
    • Current AHMA membership
  • Time commitment:
    • Six years: two years as Chair-Elect, two years as Chair, two years as Immediate Past-Chair
    • Minimum of 10 hours per month, with more hours devoted to conference planning

Job Title: Chair-Elect

  • Brief Description: Chair-Elect is groomed to assume chairmanship after 2 years, then will become Chair for 2 years, then assume role as the Past-
    Chair. The position is a 6-year commitment.
  • Responsibilities
    • Attend all meetings
    • Create organizational documents as needed
    • Report to the AHMA Chair
    • Serve as AHMA spokesperson or chair in absence of AHMA Chair.
    • Assist with budget
    • Co-Chair of conference planning committee
    • Assist with conference planning and evaluation
    • Assume the chairmanship should the Chair be unable to do so
    • Other duties at the request of the board
      • Induction of Squad members
      • Accountability
  • Qualifications:
    • Minimum of one-year AHMA membership until 2020, then minimum 2-year AHMA membership
    • Current AHMA membership
    • Ability to communicate effectively
    • Leadership skills
    • Organizational skills
    • Conference or meeting planning experience
    • Ability to delegate
    • Knowledge and interest in migraine research
  • Time commitment:
    • Six years: two years as Chair-Elect, two years as Chair, two years as Immediate Past-Chair
    • Minimum of 5 hours per month, with more hours as needed

 

Job Title: Vice Chair

  • Brief Description: Membership chairperson. Assist AHMA Chair and Chair-Elect with conference planning and implementation.
  • Responsibilities:
    • Membership chairperson:
      • Keep track of membership information
        • Statistics: new members, attrition, etc.
    • Member recruitment
      • Identify potential members
        • Veterans
        • Social media participants
        • Headache specialist/neurologist patients
        • Networking with all AHMA members
      • Work with AHMA board to develop membership recruitment tools
        • Pamphlets
        • Social media
        • Press releases
        • Communicate with members at the annual meeting
          • Encourage each member to recruit a member
  • Other duties at the request of the board
  • Qualifications:
    • Minimum of one-year AHMA membership
    • Current AHMA membership
    • Good record-keeping skills
    • Marketing knowledge
    • Good people skills
  • Time commitment:
    • Two years
    • Minimum of 5 hours per month, with more hours as needed

Job Title: Secretary

  • Brief Description: Maintain AHMA records.
  • Responsibilities:
    • Take minutes at the monthly AHMA board meetings
    • Forward board meeting minutes to the AHMA board members at least one week prior to the next meeting
    • Assist conference chair with clerical needs
    • Assist with correspondence as required
    • Prepare AHMA recruitment tools at the request of the AHMA board: pamphlets, newsletters and press releases
    • Assist in marketing the AHMA annual conference
    • Other duties at the request of the board
  • Qualifications:
    • Current AHMA membership
    • Excellent communication skills
    • Experience with MS Word and Publisher
  • Time Commitment:
    • Two years
    • Minimum of 5 hours per month, with more hours as needed

 

Job Title: Treasurer

  • Brief Description: Monitors AHMA financial operations. Fundraising.
  • Responsibilities:
    • Assist AHMA board in developing an annual budget
    • Monitor cash flow
    • Report balance sheet at AHMA board meetings
    • Fundraising
      • Development
      • Planning
      • Implementation
      • Evaluation
    • Assist with procurement of door prizes for annual conference
    • Assist with obtaining sponsor support
    • Assist with increasing revenue of the organization
    • Other duties at the request of the board
  • Qualifications:
    • Minimum of two-year AHMA membership
    • Current AHMA membership
    • Basic accounting skills
    • Familiar with Excel and Word
  • Time Commitment:
    • Two years
    • Minimum of 6 hours per month, with more hours as needed


Title: Immediate Past-Chair

  • Brief description: Advise Chair and Chair-Elect regarding board activities and operations.
  • Responsibilities:
    • Attend all meetings
    • Monitor progress of short- and long-term goals and objectives
    • Assist with budget preparation
    • Other duties at the request of the board
  • Qualifications:
    • Previous Chair-Elect and Chair of AHMA
    • Current AHMA membership
  • Time Commitment:
    • Two years as Immediate Past-Chair
    • Minimum of 7 hours per month, with more hours as needed for conference planning
